Education CRM shortlist for Indian colleges

Looking past Meritto, the realistic shortlist for an Indian college takes three shapes — another education-only CRM (ExtraaEdge, Eduvy CRM), a horizontal CRM with an education practice (LeadSquared, Zoho, Salesforce Education Cloud), or a student-information system with a CRM module (Classe365) — and which one fits depends on whether your bottleneck is calling, applications, or the student record.

01 — The baseline

First, what you would be replacing

Meritto — formerly NoPaperForms — calls itself an “Operating System for Student Enrollment”. Its Enrollment Cloud bundles the education CRM, an application platform, marketing automation, payments through Collexo and enrolment analytics, sold across higher education, K-12, coaching, preschools, EdTech and study-abroad consultants. On the calling side it runs Mio AI Voice, an autonomous calling agent built natively inside the suite, plus Amplify voice broadcast with Press #1 lead capture charged per connected call. Its security page lists ISO/IEC 27001, SOC 2 Type 1, DPDPA and GDPR-aligned practice on AWS; pricing is on request.

Colleges look elsewhere for three reasons: they need only the enquiry-to-counsellor half; they want the calling desk automated and audited; or they want the CRM in the same stack as their ERP and fee collection. Six alternatives follow, alphabetically rather than ranked — ours included, with its limits.

Six alternatives worth a demo

Classe365

A student-information system first, with the CRM as a module rather than the centre. The base subscription covers the SIS, academics, administration, assessment, messaging, student and parent portals and reporting, priced by student band — from $100 a month for 1–100 students. CRM-Enrol and Forms is a $75-a-month add-on, as are the LMS, fee and invoicing, finance, alumni and AI modules. It suits an institution wanting one record system for the whole student lifecycle; it is not the answer to a high-volume enquiry funnel.

Eduvy CRM (AVA by Eduvy)

Ours, so read it sceptically. An admissions CRM for Indian colleges built around an AI voice agent: AVA calls every new enquiry within about 60 seconds, qualifies in nine Indian languages plus Hinglish switchable mid-call, scores the lead from the conversation, and hands warm ones to a counsellor app with the reason already written. It may speak only facts the college has approved — quoted verbatim, or deferred to a human and logged — and it enforces DND scrubbing, TRAI calling windows and AI disclosure on every automated call, each college its own DLT Principal Entity. India-hosted, with same-vendor links to the Eduvy student app, campus ERP and fee collection. The honest fit: right if the calling desk is your bottleneck; wrong if you need merit lists and evaluation rounds as native modules, if you are a school or study-abroad desk, or if you want a published price before talking to anyone.

ExtraaEdge

The closest like-for-like education CRM to Meritto in the Indian market. Its site organises the product as Education CRM, Education Chatbot, Application Management System, Mobile CRM, WhatsApp API and Bot, and IVR, with VidyaAI supplying AI admission assist, lead-intent scoring and “AI Calling for Qualification & Scale”. The IVR is unusually complete: DID and toll-free numbers, call forwarding, round robin, sticky agent, desktop softphone, click-to-call, missed-call capture and recording. It sells to higher education, schools, EdTech, vocational and coaching institutes and overseas teams; Capterra records ISO 27001 and GDPR compliance.

LeadSquared Education

A large horizontal CRM — sales, marketing, service and field modules — with a real education practice spanning higher education, EdTech, test prep, career and trade schools, K-12 and study-abroad, in India and the US. Its AI stack is named and substantial: Invorto Voice AI on inbound and outbound calls, FloStack for scheduling, Converse for chat, Siera for analytics. It is also the rare vendor here that publishes prices — Sales Pro ₹2,500 and Sales Super ₹5,000 per user per month, and higher-education packages from $14,400 and $18,000 a year for 500–15,000 enrolments, with Invorto AI Voice Bot as a Super add-on. Shortlist it for configurability and named SIS connectors; weigh per-seat cost against peak-season headcount.

Salesforce Education Cloud

The enterprise answer, for institutions wanting the whole learner lifecycle on one platform with education-specific objects, logic and automation. Salesforce publishes editions: Education Cloud Enterprise at $87 per user per month, Unlimited at $145, and two Agentforce 1 editions — Sales and Service — at $375, all billed annually, the sales-side one positioned for recruitment and admissions. Realistically a multi-year programme with an implementation partner, and the per-user maths is unforgiving for a large counsellor team. It earns its place for universities with international operations and a Salesforce practice of their own.

Zoho CRM with an education setup

The budget-conscious route: a general-purpose CRM configured into an admissions pipeline. Zoho publishes Indian rates — Standard ₹800, Professional ₹1,400, Enterprise ₹2,400 and Ultimate ₹2,600 per user per month, plus a free edition for three users — an order of magnitude below education-specific platforms. Its pricing page carries no education edition, so admissions stages, application handling, counsellor allocation and Indian telecom-compliance work are configuration projects you own. Sensible for a small college with in-house capability; a false economy if nobody will own the build.

Where Meritto is hard to beat — and where it isn’t

Hard to beat

Post-application depth: merit lists, scoring and evaluation, document verification and result declaration are native modules, not integrations. Its published certification list is the evidence procurement committees ask for, and its vertical range lets a trust sign one contract instead of three.

Where an alternative wins

If you need only the enquiry-to-counsellor half, a narrower CRM costs less to run and to learn. If you want a price to budget against before a sales call, LeadSquared, Zoho, Salesforce and Classe365 publish one. If the CRM should sit in the same stack as your ERP and fee collection, that argues for a single vendor.

05 — Decide

How to shortlist, in six checks

  1. Name the bottleneck first. Unanswered enquiries, application chaos and a missing student record are three different purchases.
  2. Count your institution types. One college narrows the field; a group widens it.
  3. Ask every AI a question it has no data for, live, and watch whether it guesses, hedges or defers.
  4. Separate list price from real price. Add AI add-ons, telephony, connected-call charges, implementation and peak-season seats.
  5. Put DLT, DND, TRAI calling hours and AI disclosure in the RFP, and ask who holds the registration.
  6. Ask where the data sits, and what export looks like on the day you leave. Then pilot on one programme for one intake.

The differences are language coverage, whether the agent is core or an add-on, and what it may say without a human approving the fact first.

Is a general CRM like Zoho enough for college admissions?

It can be, if someone owns the build. Zoho publishes no education edition, so admissions stages, application handling, counsellor allocation and Indian telecom-compliance work are configuration you take on. With in-house capability the saving is real; without it, the build costs more than it saves.

Where does Eduvy CRM genuinely not fit?

If you need merit lists, evaluation rounds and document verification as native modules; if you are a school, coaching institute or study-abroad consultancy rather than a college; or if you need a published price list before speaking to a vendor. Meritto, ExtraaEdge or LeadSquared are the better shortlist there.
